Lesson 20: Email Kaise Bhejte Hain (Step-by-Step) — File Attach Karna, CC-BCC, Outbox aur Draft

Ab aap Gmail ki screen ko pehchanne lage hain. Ab agla step hai sabse important office skill seekhna — Email bhejna.

Office mein aksar boss kehte hain:

  • "Ye file mujhe email kar do."
  • "Report email kar dena."
  • "Document attach karke bhejna."

Isliye email bhejna seekhna bahut zaroori hai.

1. Email Bhejne ke Liye Kya Zaroori Hai

Email bhejne ke liye do cheezein zaroori hoti hain:

1️⃣ Internet connection
Agar internet nahi hai toh email nahi jayegi.

2️⃣ Samne wale ka email address
Agar aapko kisi ko email bhejni hai, toh aapke paas uska email address hona chahiye.

Example: example@gmail.com

⚠ Important: Kabhi bhi kisi ko apna password mat dijiye. Email bhejne ke liye sirf email address chahiye, password nahi.

2. Naya Email Kaise Likhte Hain (Compose)

Jab aap Gmail open karte hain, toh left side mein ek bada button hota hai: Compose

Compose ka matlab hai: naya email likhna.

1️⃣ Gmail open karein
2️⃣ Left side mein Compose par click karein

Ab screen par ek chhota email box khul jayega. Is box mein kuch important fields hoti hain.

3. Email Box ke Important Parts

Jab Compose box khulta hai, toh aapko ye cheezein dikhai deti hain:

1️⃣ To

Yahan us vyakti ka email address likha jata hai jise email bhejni hai.

Example: ektagarg123@gmail.com

⚠ Dhyan rakhein: Email address ki spelling galat nahi honi chahiye. Agar spelling galat hogi toh email galat vyakti ko ja sakti hai.

2️⃣ CC (Carbon Copy)

CC ka matlab hai: ek hi email kisi doosre vyakti ko bhi bhejna.

Example: Aap boss ko report bhej rahe hain aur manager ko bhi information deni hai. Toh To → Boss, CC → Manager. Manager ko bhi wahi email mil jayegi.

3️⃣ BCC (Blind Carbon Copy)

BCC ka matlab hai: hidden copy bhejna. Agar aap BCC mein kisi ko email bhejte hain, toh baaki logon ko pata nahi chalega ki yeh email aur kis-kis ko gayi hai.

Example: Aap 10 logon ko email bhej rahe hain. Agar BCC use karenge toh koi bhi nahi dekh payega ki aur kaun-kaun receive kar raha hai.

4️⃣ Subject

Subject email ki heading hoti hai. Isse samne wale ko pata chalta hai ki email kis baare mein hai.

Example: Leave Application, Monthly Report, PDF File, Job Application.

⚠ Office Rule: Subject kabhi khali mat chhodiye.

5️⃣ Message Box

Niche bada khali box hota hai. Yahan aap apna poora message likhte hain.

4. File Attach Karna (Attachment)

Office mein sabse common kaam hai: file attach karke email bhejna.

Example: PDF, Photo, Word file, Excel file.

Method 1: Paperclip Icon se File Attach Karna

Compose box ke niche ek icon hota hai: 📎 (Paperclip). Iska matlab hai file attach karna.

1️⃣ Paperclip icon par click karein
2️⃣ Ek window khulegi jisme aapke computer ke folders dikhenge (Desktop, Documents, etc.)
3️⃣ Jis file ko bhejna hai use select karein (Example: My_First_PDF.pdf)
4️⃣ Open par click karein

Method 2: Drag and Drop se File Attach Karna

1️⃣ Computer mein file open location par rakhein
2️⃣ Mouse se file ko click karke pakde rakhein
3️⃣ Use drag karke Gmail compose box mein chhod dein

Method 3: Copy Paste se File Attach Karna

1️⃣ File select karein aur Ctrl + C dabayein
2️⃣ Gmail message box mein jayein aur Ctrl + V dabayein
⚠ Important: Upload poora hone se pehle Send mat dabayein. File ka naam niche dikhai dega jab attach ho jayegi.

5. Email Send Karna

Jab sab cheezein complete ho jayein (To, Subject, Message, Attachment) tab niche Send button dabayein.

Send dabane ke baad Gmail likhega: Message Sent

Sent Folder Check Karna

Agar aapko check karna hai ki email gayi ya nahi: left side mein Sent folder par click karein. Wahan aapko aapki bheji hui email dikhai degi.

6. Outbox Kya Hota Hai

Kabhi-kabhi email turant send nahi hoti. Yeh tab hota hai jab internet slow ho ya disconnect ho. Aisi situation mein email Outbox mein chali jati hai. Jab internet wapas aata hai, email automatically send ho jati hai.

7. Draft Folder

Agar aap email likh rahe hain aur beech mein band kar dete hain ya internet chala jata hai, toh Gmail us email ko Draft mein save kar deta hai. Aap baad mein Draft folder se use continue kar sakte hain.

8. Common Mistakes (Beginner Problems)

  • Subject khali chhod dena: Yeh unprofessional mana jata hai.
  • Attachment bhool jana: Kai log message bhej dete hain aur file attach karna bhool jaate hain.
  • Galat email address: Agar spelling galat hai toh email galat vyakti ko ja sakti hai.
  • File upload hone se pehle Send dabana: Isse file attach nahi hoti.
