Lesson 21: Email ka Jawab Dena aur Files Download Karna — Reply, Reply All, Forward aur Email Thread

Lekin office mein sirf email bhejna hi kaam nahi hota. Zyada tar situation mein aapko kisi ki email padhni hoti hai, uska jawab dena hota hai, aur email ke saath aayi file download karni hoti hai. Is lesson mein hum ye sab step-by-step seekhenge.

1. Email Kaise Padhein

Jab koi aapko email bhejta hai, wo Inbox mein aati hai. Agar email nayi hai aur abhi tak nahi padhi, to Gmail usse Bold mein dikhata hai.

Jab aap email par click karte hain to:

  • Pura message dikhai deta hai
  • Agar file attach hai to wo bhi dikhai deti hai

2. Email ka Jawab Dena (Reply vs Reply All)

Jab aap kisi email ka jawab dete hain, to use Reply kehte hain. Email ke niche aapko teen buttons dikhte hain:

3. Reply kya hota hai

Reply ka matlab hai sirf us insaan ko jawab bhejna jisne email bheji hai.

Example: Boss ne email bheji — "Please send the report." Aap reply karte hain — "Sir, report attached hai." Is situation mein sirf boss ko email milegi.

4. Reply All kya hota hai

Kabhi kabhi ek email multiple logon ko bheji jati hai.

Example: To → Boss, CC → Manager + HR. Agar aap Reply karte hain → sirf boss ko reply milega. Agar aap Reply All karte hain → boss, manager aur HR sabko reply milega.

Office Rule: Reply All tabhi use karein jab sabko information dena zaroori ho. Agar sirf boss ko batana hai, to Reply All mat use karein. Isse unnecessary emails sabko nahi jayengi.

5. Forward: Email kisi aur ko bhejna

Kabhi kabhi aapko kisi aur ki email teesre insaan ko bhejni hoti hai. Is situation mein Forward use kiya jata hai.

Example: Boss ne aapko email bheji — "Please check this document." Ab aapko wo document apne colleague ko bhejna hai.

2️⃣ To mein us naye insaan ka email address likhein
3️⃣ Send dabayein — original email us insaan ko chali jayegi

6. Attachment Download Karna (File Computer mein lana)

Email ke saath kabhi kabhi files aati hain — PDF, Photo, Excel file, Word file. Inhe Attachment kehte hain.

2️⃣ File par mouse le jayein
3️⃣ Download icon (↓) dikhega
4️⃣ Us par click karein
File computer ke Downloads folder mein save ho jayegi

Jab aap file download karte hain, to wo usually Downloads folder mein jati hai.
