Lesson 21: Replying to Emails and Downloading Files — Reply, Reply All, Forward and Email Threads

In the Previous Lesson, You Learned:

  • How to write an email
  • How to send an email with an attached file

But in an office, your work isn't just sending emails. In most situations, you have to read someone's email, reply to it, and download the file received with the email. In this lesson, we will learn all this step-by-step.

1. How to Read an Email

When someone sends you an email, it arrives in the Inbox. If the email is new and unread, Gmail displays it in Bold (dark writing).

When you click on an email:

  • The email opens
  • The full message is visible
  • If a file is attached, it is also visible

2. Replying to an Email (Reply vs Reply All)

When you answer an email, it is called a Reply. Below the email, you see these buttons:

Reply  |  Reply All  |  Forward

3. What is Reply

Reply means sending an answer only to the person who sent the email.

Example: Boss sent an email — "Please send the report." You reply — "Sir, the report is attached." In this situation, only the boss will receive the reply.

4. What is Reply All

Sometimes an email is sent to multiple people.

Example: To → Boss, CC → Manager + HR. If you Reply → only the boss gets the reply. If you Reply All → the boss, manager, and HR will all get the reply.

Office Rule: Use Reply All only when it is necessary to provide information to everyone. If you only need to tell the boss, do not use Reply All. This prevents unnecessary emails from going to everyone.

5. Forward: Sending an Email to Someone Else

Sometimes you need to send someone's email to a third person. In this situation, Forward is used.

Example: Boss sent you an email — "Please check this document." Now you need to send that document to your colleague.

2️⃣ In the "To" field, write the new person's email address

6. Downloading Attachments (Bringing Files to the Computer)

How to Download a File

1️⃣ Open the email
2️⃣ Move the mouse over the file
3️⃣ The Download icon (↓) will appear
4️⃣ Click on it
The file will be saved in the computer's Downloads folder

Now you can open the file, take a printout, or send it to someone else.

7. Where is the Downloads Folder

When you download a file, it usually goes to the Downloads folder.

  • Open File Explorer
  • Click on Downloads on the left side

Here you will find the file you downloaded from the email.

⚠ Never immediately open a file received from an unknown email. Sometimes the file may contain a virus or malware. If the email is from an unknown person and the file looks suspicious — do not open it. In offices, the IT department often asks employees to follow this rule.
