So far, you have learned how to save files on your computer and pen drive. But pen drives have some problems — they can get lost, damaged, or infected with a virus.
The solution to this problem is Google Drive. Google Drive is a place where you can save your files on the internet. If your file is saved in Google Drive, you can open it from your home computer, office computer, laptop, or mobile — from anywhere. That is why Google Drive is often called an Online Locker or Digital Locker.
1. What is Google Drive
In simple words: Google Drive is an online storage service where you can keep your files safe. Just like you have a cupboard at home where you store documents, Google Drive is a digital cupboard on the internet.
You can save: Word files, Excel files, PDF files, Photos, Videos, and Scanned documents.
The biggest advantage of Google Drive is that your file stays safe as long as your Gmail account is secure.
2. How to Open Google Drive (via Gmail)
2️⃣ In the top right corner of the screen, you will see 9 small dots (square boxes)
3️⃣ This is called the Google Apps Menu — click on these dots
4️⃣ You will see several Google services: Gmail, YouTube, Maps, Drive
5️⃣ Click on Drive
Google Drive will now open
3. Understanding the Google Drive Interface
When Google Drive opens, you will see these options on the left side:
- My Drive
- Computers
- Shared with me
- Recent
- Trash
The most important option for beginners is My Drive — this is where your files are saved.
4. How to Upload a File (from Computer to Drive)
Upload means: saving a file from your computer to Google Drive.
2️⃣ Click on the + New button on the left side
3️⃣ Click on File Upload
4️⃣ The File Explorer window will open
5️⃣ Select the file you want to upload (Example: Excel file, PDF, Photo)
6️⃣ Click the Open button
After a few seconds, the file will appear in your Drive
5. How to Download a File (from Drive to Computer)
Download means: bringing a file from the internet to your computer.
2️⃣ Right Click on the file you want to download
3️⃣ Click on Download
The file will be saved in your computer's Downloads folder
After the file downloads: Open File Explorer → click Downloads on the left side → your file will be there.
6. Benefits of Google Drive
2. Less need for a Pen Drive: You don't need a pen drive to transfer files.
3. Access from anywhere: Just log into Gmail and your file is available.
4. Backup available: If a file is deleted from your computer, you can get it back from Drive.
7. Important Safety Rules
✔ Rule 2: Always Logout after using Gmail on a public computer.
✔ Rule 3: Be careful when downloading unknown files — some files may contain viruses.
8. Google Drive Storage
Google Drive gives 15 GB of free storage. This means you can store thousands of documents, photos, and PDFs. If storage runs out, you can delete old files.
9. Sending Large Files via Email (Google Drive Link)
Sometimes you need to send a very large file — a large PDF, high quality photo, video, or presentation.
If the file is larger than 25 MB, Gmail uploads it to Google Drive and you share a Drive link instead. The recipient can then download the file from the internet.
10. How to Share a File from Google Drive

3️⃣ Click on Share
4️⃣ A window will open — type the email address
5️⃣ Choose the permission and click Send

13. Organizing Files with Folders in Google Drive
How to Create a New Folder
2️⃣ Click on + New
3️⃣ Select Folder
4️⃣ Type a folder name (Example: Office Documents, Bills, Photos, Reports)
5️⃣ Click Create
How to Move a File into a Folder
2️⃣ Click on Move To
3️⃣ Select your folder
4️⃣ Click Move
How to Upload a File Directly into a Folder
2️⃣ Click + New
3️⃣ Select File Upload
4️⃣ Choose your file — it will be saved directly inside that folder
14. If a File is Accidentally Deleted
If you delete a file in Google Drive, it goes to the Trash folder.

3️⃣ Click Restore
The file will come back to My Drive
