Lesson 05: Office Power Tools (Number Pad, Screenshot, and Navigation)

By now, you have learned typing and the Function keys (F1-F12). Now, we will explore the remaining sections of the keyboard that simplify large office tasks.

1. Number Pad: Calculator-style Shortcut

On the right side of a desktop keyboard, there is a separate section for numbers called the Numeric Keypad.

Num Lock (Crucial): If the Num Lock light is ON, only then will the numbers work. If it's OFF, these buttons won't type numbers. Always check this light first if your keypad isn't responding.
Note for Laptop Users: Smaller laptops often lack a dedicated number pad; you should use the number row (1 to 0) above the alphabet keys.

2. How to Take a Screenshot (PrtSc Key)

In an office, you often need to capture your screen to share with your boss or team. Use the PrtSc (Print Screen) key for this.

  • On Desktop: Press PrtSc. The screen is copied to your clipboard. Use Ctrl + V to paste it into an Email or WhatsApp.
  • On Laptop: You often need to press Fn + PrtSc.
  • Modern Method: Press Windows + Shift + S to crop and capture a specific part of the screen.
  • Auto-Save: Press Windows + PrtSc to automatically save the image in Pictures > Screenshots.

These keys allow you to move the cursor without using a mouse:

Left/Right Arrows: To move the cursor one character at a time.
Up/Down Arrows: To move the cursor up or down by one line.

Pro Keys (For Speed):

Home: Instantly jumps to the very beginning of the current line.
End: Instantly jumps to the very end of the current line.
Page Up/Page Down: To move up or down one full page at a time.

4. Windows Button (⊞): The Computer Remote

Pressing this opens the Start Menu. To open any software like Word or Excel, just press the Windows button and start typing the name.
