Lesson 19: Understanding the Gmail Screen and Using Email Addresses

In the previous lesson, you learned:
- • What is Email
- • What is Gmail
- • Structure of an email address
- • How to create a Gmail account
And you must have created your Gmail ID as well. Now the next step is to use Gmail and understand its screen.
1. Two Basic Rules of Using Email
Keep two simple things in mind while using email.
Rule 1
If you want to receive an email from someone, they must have your email address.
Example: If someone needs to send you a file, they should know: what your email address is.
Rule 2
If you want to send an email to someone, you must have their email address.
For example: If you are applying for a job, you should know the company's email address. Only then can you send them an email.
2. It is Not Necessary for Email to be Gmail
Many people think that an email address always ends with @gmail.com. But this is not necessary. Gmail is just an email service. You can understand this like a courier service.
Just as there are courier services:
- • DTDC
- • Blue Dart
- • Speed Post
Similarly, there are email services too.
Example:
- • @gmail.com
- • @yahoo.com
- • @hotmail.com
These are all different email services. Therefore, even if someone's email address is not from Gmail, you can still send them an email.
3. Structure of an Email Address (Revision)
In the previous lesson, you learned that an email address is made up of two parts.
Example: ektagarg123@gmail.com
In this:
- • ektagarg123 → your username
- • gmail.com → your email service
Both together form the: Email Address
4. Understanding the Gmail Screen
When you login to Gmail, you see the main screen of Gmail. This screen is also called the Inbox screen. This is the place where:
- • new emails arrive
- • you read emails
- • you send emails
5. Important Parts of the Gmail Screen
1️⃣ Compose Button
The Compose button is on the left side. It is used:
- • to write a new email
- • to send an email to someone
2️⃣ Inbox
All new emails arrive in the Inbox. As soon as someone sends you an email, it appears in the Inbox.
3️⃣ Sent
The Sent folder contains those emails that you have sent to someone.
4️⃣ Draft
If you are writing an email and it gets saved in the middle, it goes to the Draft folder.
5️⃣ Spam
Unwanted emails come into the Spam folder. Such as:
- • advertisements
- • suspicious emails
6️⃣ Trash
If you delete an email, it goes to the Trash folder.
6. Email List
You see a list in the Inbox. This list contains:
- • sender's name
- • subject of the email
- • a small preview of the message
Click on an email to read it.
7. Search Bar
There is a Search bar at the top of Gmail. With its help, you can easily find old emails.
Example: If you search: job, then job-related emails will be displayed.
