By now, you have learned many important tasks on the computer:

• typing
• creating files
• creating PDFs
• saving files in a Pen Drive
• using the internet and browser

Now we will learn about Email. In today's time, almost every office task is done through email.

Example:

• boss asks for a report → email
• if a file needs to be sent → email
• if you need to apply for a job → email
• if an online form needs to be submitted → email

Therefore, understanding email is a very important step in computer learning.

1. What is Email?

In the old days, people used to write letters. Those letters were:

• put in an envelope
• given to the post office
• then they reached another city

This process used to take 2 to 5 days. Today, with the help of the internet, we send digital letters, which are called Email (Electronic Mail).

Special features of Email:

• ✔ reaches in a few seconds
• ✔ documents can be attached
• ✔ photos can be sent
• ✔ can be sent anywhere in the world

In simple words: Email is a digital letter of the internet.

2. What is necessary to send an Email?

Two things are necessary to send an email:

1️⃣ Internet connection
2️⃣ Email account

If you do not have an email account, you cannot send an email. The most popular email service is Gmail.

3. What is Gmail?

Gmail is a free email service provided by Google. Crores of people around the world use Gmail. In offices, too, Gmail is often used.

Example Gmail address: example@gmail.com

4. Understand the Email Address

An email address is exactly like a home address. Just as a postman should know where to send a letter, an email should also know where to send the message.

Example: ektagarg123@gmail.com

This email address has three parts:

• ektagarg123: this is your username
• @: this symbol is in every email address
• gmail.com: this is the name of the email service

5. How to create a Gmail Account (Step-by-Step)

Step 1: Open the Browser
Double-click on the Google Chrome icon on the Desktop.

Step 2: Open the Gmail website
Type in the address bar: www.gmail.com then press Enter. Now the Gmail page will open.

Step 3: Click on Create Account
You will see the Create Account or Create an account button on the page. Click on it.

Step 4: Fill in your details
Now a form will open in which you have to fill in these details:
First Name
Last Name
Username
Password

Example: First Name → Ekta, Last Name → Garg, Username → ektagarg123. After this, the Gmail address will be created: ektagarg123@gmail.com

If Username is Already Taken: Sometimes Gmail says that your username has already been used by someone else. In this situation, you can:

• add numbers to the name
• add the birth year
• use slightly different spellings

Example:

• ektagarg123
• ektagarg2026
• ektagarg.india

6. What is a Password?

A password is a secret code that keeps your account safe. Example password: Ekta@2026

Keep these things in mind while making a password:

• ✔ keep a somewhat strong password
• ✔ mix letters and numbers
• ✔ do not tell the password to anyone

If someone finds out your password, they can open your email account.

7. Phone Verification (OTP)

While creating an account, Gmail can ask you for a phone number. An OTP (One Time Password) comes to that number. OTP is a temporary code. Gmail gets verified by entering that code into the form. This keeps the account safe.

8. Verification with QR Code (New Method)

Sometimes Google also shows QR Code verification while creating a Gmail account. A QR Code is a small square pattern that is scanned with a phone camera.

How to do QR Code Verification
Step 1: Pick up your mobile phone.
Step 2: Open the Camera app or Google Lens on the phone.
Step 3: Point the phone camera at the QR Code appearing on the computer screen. In 2–3 seconds, a link will appear on the phone.
Step 4: Tap on that link. The Google verification page will open on the phone.
Step 5: Tap on Verify or Continue there. After the verification is complete, the Gmail page on the computer will automatically go to the next step. Then you can continue creating the account on the desktop or laptop.

9. Gmail Account Ready

After completing all the steps:

• ✔ the Gmail account will be created
• ✔ the Gmail inbox will open

Now you can send as well as receive emails.

10. What are Login and Logout?

Login: When you open the account by entering your email address and password on the Gmail website, it is called Login.

Logout: When you close the account after using Gmail, it is called Logout. This is very important if you are using Gmail on an:

• office computer
• cyber cafe
• someone else's laptop

. Without logging out, someone else can see your email.
