Lesson 09: Folder Management (Keep Your Work Organized)
What Will You Learn?
In a professional office, you will handle thousands of files. If you don't organize them into folders, your workspace will be messy, and you will waste time searching for documents.
1. How to Create a New Folder? (Create)
First, navigate to where you want the folder (such as D: Drive or Documents). Then follow these steps:
Step 1: Right-click on an empty space with your mouse.
Step 2: Move the mouse to New and click Folder.
Step 3: Type a name immediately and press Enter.
Shortcut: Ctrl + Shift + N
2. Renaming a Folder (Rename)
The default name is "New Folder," but you must change it to stay organized:
- Using Mouse: Right-click the folder and select Rename (look for the pencil icon in Windows 11).
- Using Keyboard: Select the folder and press
F2.
3. Moving and Copying Files
Cut & Paste: Use
Ctrl + X to cut and Ctrl + V to paste inside the new folder. (The file is moved from the original spot).Copy & Paste: Use
Ctrl + C to copy and Ctrl + V to paste. (The file will exist in both locations).4. Zip Folder: Bundling Files for Email
In an office, when you need to send many files via email, we "Zip" them—this packs them into a single bundle to reduce size and clutter.
How to do it: Right-click the folder > Send to > Compressed (zipped) folder.
Essential Glossary
- Sub-folder: A folder created inside another folder.
- Recycle Bin: The computer's trash can. Deleted files can be Restored from here back to their original location.
- Zip: Packing multiple files into one smaller file to make emailing easier.
