Lesson 10: What is a File and How to Identify Them?
What Will You Learn?
A folder is like a "box," but the items kept inside it are called Files. On a computer, every photo, letter, or song is a file.
1. Identifying Files (Extension)
Just like we have "Surnames" (like Smith or Jones), every file has an Extension behind its name that tells the computer what kind of file it is.
Example:
Here, "Report" is the file name, and
Report.docxHere, "Report" is the file name, and
.docx tells the system it is a Microsoft Word Document.2. Common Office File Types
| File Type | Extension | Purpose / Use |
|---|---|---|
| Document | .docx / .txt |
Typing work (Letters, Applications) |
| Excel Sheet | .xlsx |
Calculations and Data Tables |
.pdf |
Read-only (Bills, Official Forms) | |
| Image | .jpg / .png |
Photos or scanned documents |
3. Checking Properties and "Details View"
In an office setting, checking the file size and date is crucial. Instead of right-clicking every time, use Details View:
How to do it: Click the 'View' menu in any folder and select Details.
- Name: The title given to the file.
- Date Modified: When the file was last opened and edited.
- Size: How much space the file takes (measured in KB or MB).
4. Refreshing the Computer (F5 Shortcut)
When the computer feels slow or a new file doesn't appear immediately after saving, we Refresh it.
- Using Mouse: Right-click on an empty space > Refresh.
- Keyboard Shortcut: Simply press
F5.
Essential Glossary
- KB / MB: File size measurements. KB (Kilobyte) is small; MB (Megabyte) is larger.
- PDF: Portable Document Format (ensures the file looks the same on every device).
- Details View: A layout that shows all file metadata (size, date, type) in a list.
Today's Practice
1. Open your Downloads folder and check if you can see extensions like .pdf or .docx.
2. Right-click a file, select Properties, and note down its exact size.
