Lesson 15: Printing and PDF – Bringing Work to Paper

By now, you have learned how to create files in WordPad or Word, how to format text, and how to save them. In an office, a boss or teacher often says:

“Take a printout of this”
“Send this as a PDF”

This means your work should be visible outside the computer as well. This lesson will teach you step-by-step how to do this, especially for beginners.

1. Print Preview – The First and Most Important Step

Print Preview is a copy displayed on the screen that tells you how your page design and content will look on a printer or in a PDF.

Example: You placed the heading in the center and created a list. If the heading or a line is getting cut in the Print Preview, it will appear cut on the PDF or paper as well. Therefore, always check the Preview first, then print or create a PDF.

Steps:
1. Open your WordPad or Word file.
2. Click on the File MenuPrintPrint Preview.
3. Your page will appear on the screen.
4. Check:
    - Is the heading complete or getting cut?
    - Are the list items correct in the line-break or not?
5. If something looks wrong, adjust the text slightly, then check the Preview again.
Tip: Never ignore Print Preview. Beginners often forget this, resulting in a faulty PDF or paper print.

2. Printing – How to Print on Paper

Now, if everything looks correct, you can proceed to print.

Steps:
1. Press Ctrl + P (keyboard shortcut for Print).
2. Select Printer: Offices usually have 1-2 printers; selecting the correct name is important.
3. Number of Copies: How many copies you need (1, 2, or 5).
4. Print Button: Click on 'Print' at the bottom. The paper will come out of the printer into your hands.
Beginner Tip:
- If the printer name is not in the list, your office or home printer is not connected. Connect the printer first, then print.
- Check one copy after performing every step once.

3. Creating a PDF – Two Easy Methods

A PDF is a digital copy that looks exactly the same on every computer and phone.

Method A: F12 Shortcut (Fastest)
1. Open your file.
2. Press F12 from the keyboard (Save As shortcut).
3. In the Save as type box below, select PDF from the list.
4. Give the file a name and press Save. The file is now saved in PDF format.
Method B: Microsoft Print to PDF
1. Press Ctrl + P.
2. Select Microsoft Print to PDF from the printer list.
3. Click on 'Print'.
4. Give the file a name and select the location. As soon as you save, the file will become a PDF.
Tip for Beginners: Method A is fast, but if you want to understand the printer menu, try Method B.

4. Portrait vs Landscape – Page Orientation

Sometimes you need the page vertical, sometimes horizontal.

Orientation How it looks When to use
Portrait Vertical page Letters, applications, normal documents
Landscape Horizontal page Tables, charts, certificates

To Change: You can change this by going to Print Preview or Page Setup. Tip: If a large table is getting cut, try Landscape.

5. Office Printing Shortcuts – Quick Guide

Shortcut What it does When to use
Ctrl + P Opens Print menu To print on paper
F12 Save As (PDF) To create a direct PDF
Esc Cancel print To stop immediately if printed by mistake

6. Important Words (Glossary)

  • Hard Copy: A file printed on paper that comes into your hand.
  • Soft Copy: A file inside the computer, like a Word, WordPad, or Notepad file.
  • PDF: A digital file that looks the same on every computer and phone.
  • Print Preview: Checking on the screen first how the print will look.

7. Today's Practice – Step by Step

1. Open the Kitchen List or Leave Application file you created.
2. First, check the Print Preview. Are all the headings and text looking correct?
3. Now press F12 and save the file in PDF format.
4. Open the PDF file and check: Does it look exactly like the Print Preview?
5. If possible, try taking a single-page printout.
Pro Tip: Remember this three-step rule: “First Preview, then PDF, then Print.” Beginners often skip this. This ensures the file never looks bad and the boss or teacher receives a perfect copy.

✅ Beginner-Friendly Tips

  • Perform every step one by one. Do not rush.
  • If the heading is getting cut → adjust text → check preview again.
  • Do not confuse PDF and Print. PDF means digital copy, Print means paper copy.
  • Always check Orientation (Portrait/Landscape).

Lesson 15 Complete!

Now you have learned:
