Lesson 16: Pen Drives and Computer Safety (Finishing Your Work)
What Will You Learn?
You have already learned how to work on a computer, create files, and print or save them as PDF. Now we will learn the final and most important steps of office work:
1. What is a Pen Drive? – A "Mini Cupboard" in Your Pocket
A Pen Drive is a small USB device used to store your files and carry them from one computer to another.
Example: If you created a Resume or a PDF file on one computer, you can put that file into a Pen Drive and take it to another computer or a computer connected to a printer. You can think of it as a "Small digital cupboard that fits in your pocket."
2. How to Connect a Pen Drive to a Computer
There is a small rectangular port on the side of a computer or laptop called the USB Port.
1. Carefully insert the Pen Drive into the USB port.
2. The computer will automatically recognize it (Message: "USB Device Connected").
3. Now open This PC (My Computer).
4. You will see your usual drives (Local Disk C, D) and a new drive: USB Drive or Removable Disk. This is your Pen Drive.
3. Pen Drive Virus Safety (Very Important)
Sometimes a Pen Drive may contain viruses, especially if it has been used in multiple computers. Always remember this rule:
1. Plug in the Pen Drive and open This PC.
2. Right Click on the Pen Drive icon.
3. Click on Scan with Antivirus or Scan for Viruses.
4. Only double-click to open after the scan is complete.
4. How to Put Files into a Pen Drive (Transfer)
1. Right Click on your file.
2. Move your mouse to Send to.
3. Select your Pen Drive name from the list. The file will be copied immediately.
1. Click on the file and press Ctrl + C.
2. Open the Pen Drive folder and press Ctrl + V.
5. The Correct Way to Remove a Pen Drive (Eject)
Many people pull out the Pen Drive directly. This can corrupt files or delete your data.
1. Open This PC.
2. Right Click on the Pen Drive icon.
3. Click on Eject.
4. Remove it only when the message "Safe to Remove Hardware" appears on the screen.
6. Important Office Security Rule
Many offices do not allow the use of Pen Drives to prevent data leaks or viruses. In such cases, use these methods:
- Google Drive or OneDrive
- Company Network Folder
7. How to Shut Down a Computer Properly
You should never turn off a computer directly from the main power switch.
1. Close all open files (Word, Notepad, etc.).
2. Click on the Windows Start Button.
3. Click on the Power icon → select Shut Down.
4. Turn off the main power switch only when the screen goes completely black.
Office Safety Table
| Action | What Happens | When to Use |
|---|---|---|
| Eject | Safely removes Pen Drive | To prevent data loss |
| Shut Down | Turns off the computer | When work is finished |
