Lesson 27: Your First Meeting with Excel (3 Main Friends on the Screen)
What You Will Learn
When you open Excel for the first time, you may see many buttons and options on the screen. There is no need to feel overwhelmed. You do not need to memorise every button right away — just recognise 3 areas. These are your biggest friends in Excel.
1. How to Open Excel? (Step-by-Step)
- • Start your computer
- • Click on the Start button (Windows icon) at the bottom left corner of the screen
- • Type on the keyboard:
Excel - • You will see a green Excel icon — click on it
- • A welcome screen will appear — click on Blank Workbook
Blank Workbook means an empty register. As soon as you click it, Excel's main screen will open.
2. Your 3 Best Friends on the Screen
After Excel opens, you will see some important areas at the top of the screen. These are the 3 areas you must understand first.
A. Name Box (The Address Indicator)
At the top left of the screen, there is a small white box — this is called the Name Box.
What does it do? It tells you which Cell you are currently working in.
Example:
- • Click on cell A1 → the Name Box will show
A1 - • Click on cell B5 → the Name Box will show
B5
B. Formula Bar (The Content Display Strip)
To the right of the Name Box, there is a long empty strip — this is called the Formula Bar.
What does it do? Whatever you type in any cell is clearly displayed here.
Example:
- • Type "Ravi Kumar" in any cell → that text will also appear in the Formula Bar
C. Home Tab (The Formatting Buttons)
At the very top of the Excel screen, you will see tabs: File, Home, Insert, Layout. In the beginning, focus only on the Home Tab.
What does it do? The Home Tab contains all the buttons that make your data look neat and clear:
- • Making text Bold
- • Increasing font size
- • Changing colour
- • Setting alignment
3. One Important Tip: How to Use Zoom?
Sometimes the cells in Excel appear very small and are difficult to see. If you want to make the boxes larger:
- • Look at the Zoom control at the bottom right corner of the screen — it has a + and – sign
- • Click + → the boxes will become larger
- • Click – → the boxes will become smaller
This makes the Excel screen comfortable for your eyes.
1. Open Excel and select Blank Workbook
2. Click on any cell — does the address change in the Name Box?
3. Type your name in any cell — does it also appear in the Formula Bar?
4. Click + in the Zoom control at the bottom right — do the boxes appear a little larger?
